Personnel Services:
1.Perform weekly security inspections of all units:
a.Ring door bell.Enter if no answer.
b.Make a visual check.
c.Look at heat level,plumbing and appliances for problems.
d.Notify owner or his agent if something needs immediate attention.
e.Take emergency actions as appropriate.
f.Make sure all windows and doors are shut and locked (including dead bolts)when
leaving the unit.
g.Post a log on inspections and results of each inspection in each unit.
2.Remove snow from walkways and stairs of common elements.Sand entry ways
as
necessary.
3.Inspect buildings and grounds for litter,maintenance and needed repairs.
4.Monitor the timing of perimeter lights.Adjust timing when needed.
5.Replace burned out light bulbs.
6.Perform routine and preventative maintenance:
a.Mow and trim g rass,cut weeds.
b.Water grass and plantings.
c.Sand driveways.
d.Sweep walkways.
e.Clean interior or common areas.
f.Clean laundry rooms.
7.Inspect boilers bi-weekly,recording temperature and pressure readings in
a log.
Inspect the chemical balance of the boiler water bi-weekly in the summer,weekly
in
the winter.
8.Maintain cleanliness,temperature and chemical balance of the hot tubs.
9.Open the club room and laundry rooms at 10:00 a.m.and close them at 10:00
p.m.
10.Maintain logs of inspection and maintenance activities.Logs shall be assessable
to
Association officers.
MANAGEMENT SERVICES;
1.Attend directors meetings when requested (currently four a year).Attend
annual
owners meetings.Provide for the recording of minutes and the timely mailing
of
minutes to owners.
2.Mail notices of Association meetings to all owners.
3.Maintain up-to-date owner list.
4.Ar r ange insurance coverage (including directors coverage)for the Association.
5.Assist in the annual budget process.Prepare a replacement reserve schedule.
6.Supervise outside contractors.
7.Complete annual reports for Colorado Secretary of State.
8.Enforce association rules and regulations.
9.Monitor parking lots and arrange to tow vehicles away if appropriate.
10.Maintain a set of mater keys for the Association.Maintain key control.
11.Have personnel available 24 hours a day,7 days a week.A maintenance person
is to
be on call at night and on weekends.
12.Take measures to preserve the safety,cleanliness and upkeep of the complex,
including calling for police,fire protection and/or medical assistance.
13.Perform emergency repairs when needed.
14.Designate a manager for the complex.Provide a phone number so that owners
can
contact a responsible person when needed
FISCAL SERVICES:
1.Collect all dues and fees for the Association...Bill owners for money due.
2.Pay all approved expensed and bills when due.Keep adequate records of
transactions.
3.Maintain financial accounts in accordance with acceptable accounting
standards.
4.Maintain all records necessary for the conduct of Association business.
5.Provide a qualified bookkeeper.
6.File insurance claims on behalf of the Association and on behalf of owners.
7.Prepare monthly financial reports showing:
Balance Sheet
Income and expenses for Operating Account
Income and expenses for Replacement Reserve Account
Detail of disbursements by Line Item
Bank balances
Dues delinquency list
CONTRACTING SERVICES:
1.Contract for water,sewer,gas,electricity,trash removal and cable TV.
2.Contract for plowing driveway and parking lots when snowfall exceeds two
inches.
3.Contract for repairs to fire and heat detection systems.Respond to all alarms.
4.Contract for painting and all repairs to,and replacements of,plumbing,heating
system,building elements (roofs,siding,decks,etc.)and driveways as
directed by the Board.
5.Contract for landscaping services as directed.
